Transition is quick and guided. Once your data is ready, our team helps you migrate and set up your account efficiently. Most practices complete the transition within a few days, depending on data volume and complexity.

Pricing & Subscription

TherapyPM offers flexible pricing designed to fit any practice size. The standard plan includes a $99 monthly base fee plus $8 per active client per month. Your total cost adjusts based on the number of clients you serve, making it easy to scale up or down as your practice grows.

No. All core features, including telehealth, payroll, documentation, scheduling, and integrations are included in your subscription. You only pay the base fee and the per-client rate.

No. TherapyPM provides free onboarding and data migration. Our team helps you transition smoothly from your current system without extra fees.

TherapyPM offers optional add-ons:

  1. SMS reminders cost $0.05 per message, activated on request. 
  2. Clearinghouse enrolment includes a $25 one-time setup fee, covering full-service support from our clearinghouse team.
  3. Credit card processing fees follow standard merchant rates. 

Your data remains secure and accessible for export before your subscription ends. TherapyPM ensures you can download client records, billing history, and documentation so your practice continues to move forward.

Yes. TherapyPM allows you to adjust your plan anytime based on your practice’s needs. Whether you add/remove services, or increase/decrease client volume, the system adapts with you.

The pricing calculator allows you to input:

  1. Number of clients
  2. Add-ons (clearinghouse, SMS, fax, mobile app, EVV)
  3. Services like RCM, credentialing, bookkeeping, SCA, and payroll

It then generates a real-time pricing summary, which you can email to yourself for review.

No. TherapyPM does not require long-term contracts or lock-ins. You are free to stay, explore other options, or leave at any time. Only a 60-day notice period is required before cancellation.

Scheduling

TherapyPM supports supervision sessions and group appointments. While multiple providers cannot conduct a session for the same client at the same time, clients can still receive sessions different providers in different sessions. 

TherapyPM automatically checks for conflicts when scheduling. If a provider, location, or time slot is already booked, the therapy scheduler alerts you immediately and prevents accidental double-booking. You can also view schedules in calendar, timeline, and list formats for complete visibility.

Yes. TherapyPM allows you to customize:

  • Travel time with mileage tracking for mobile appointments 
  • Buffer time by adding breaks before or after sessions
  • Provider availability using block-off times, custom schedules, and replacement provider options.

This ensures your calendar reflects your schedules accurately.

Yes. TherapyPM automatically checks authorization limits and service codes before scheduling. If a session exceeds authorized units or falls outside approved service types, the therapy scheduling software prevents appointments from being booked.

TherapyPM sends automated reminders to reduce no-shows. If a cancellation or no-show occurs, you can update the appointment status instantly. Providers and admins can then reschedule sessions, track missed visits, and maintain accurate billing records.

Yes. Providers can view all appointments across multiple locations, service types, and providers using filters in the calendar, timeline, or list view. This makes it easier to manage complex, multi-site schedules.

Yes. TherapyPM supports color-coding by provider, service type, or location. This makes it easy to visually track who is seeing which client and when, especially in busy group practices.

Yes. With role-based access controls, you can decide who can create, edit, or approve appointments. This ensures scheduling accuracy and prevents unauthorized chang

TherapyPM allows you to create recurring appointments with custom frequencies (daily, weekly, bi-weekly, monthly, etc.). You can view, edit, or delete recurring sessions from a dedicated list, and adjust individual occurrences as needed.

Authorization Management

Yes. TherapyPM stores each authorization separately under the client’s profiles. This allows clients to view details, filter between active and inactive authorizations, edit information, and track service utilization without confusion.

TherapyPM provides dashboard alerts that show upcoming authorization expirations. You can quickly see authorizations expiring within 30, 60, 90, 120 days, or beyond, helping you stay ahead of renewals and avoid treatment interruptions.

Yes. TherapyPM instantly notifies you if a scheduled session would exceed authorization limits. This prevents over-utilization and ensures compliance before the appointment is booked.

TherapyPM automatically manages secondary authorizations based on the secondary insurance billing posted in the system.

Yes. TherapyPM allows you to create and track authorization requests, including type, status, validity dates, and aging days. With this information, you can renew authorizations proactively so sessions continue without delays or gaps in care.

TherapyPM supports group authorizations through a dedicated toggle that activates group-based billing rules. For parent-training codes, you can record the appropriate service information directly within the session to ensure accurate documentation and billing.

Insurance Billing & Claims

Yes. TherapyPM automatically checks every claim for missing modifiers, incorrect CPT/ICD codes, and incomplete demographic information. If anything is missing or incorrect, the therapy billing software prevents the claim from being submitted. It may prompt you to update the client profile or billing details before sending it to the clearinghouse.

Yes. TherapyPM supports batch billing, allowing you to submit large volumes of claims at once. You can also filter claims by payer, status, provider, or service type to manage high-volume billing efficiently.

TherapyPM allows you to edit and resubmit claims for corrected claims, re-submissions, or appeals. The insurance billing software helps you document the reason for the correction, track aging limits, and understand why denials occurred. It also provides guidance on preventing similar issues in the future.

Documentation

Yes. TherapyPM includes a wide range of pre-built, specialty-specific templates that you can select and customize to fit your discipline. Whether you are documenting ABA, speech, OT, PT, or pediatric services, you can choose templates that match your clinical needs.

Currently, TherapyPM does not support building templates entirely from scratch. However, you can choose from existing pre-built templates and create forms based on provider needs or service types.

Yes! TherapyPM supports SOAP, narrative, and highly structured note formats. You can choose from templates such as SOAP/BIRP notes, progress notes, treatment plans, supervision forms, speech and language reports, and behavioral assessments

Yes. TherapyPM allows providers to edit and modify notes, while maintaining a clear record of changes to support compliance accountability, and audit readiness.

Yes. TherapyPM includes secure electronic signatures for treatment plans, consent forms, and other clinical documents. Providers, clients, and caregivers can sign digitally from any device, making documentation faster and more convenient. 

Yes. TherapyPM allows you to securely upload and attach files, including assessments, reports, images, and external documents. Intake forms, evaluations, treatment plans, progress reports, and supporting materials can all be stored in one organized place.

Yes. TherapyPM automatically pre-fills key session details such as appointment type, service type, provider information, client demographics, and authorization data. You can edit or expand any section as needed, reducing repetitive typing and improving accuracy

Client Portal

Yes! Clients can securely upload intake forms, insurance cards, and other important documents directly via the Client Portal. All uploads are encrypted and stored in a HIPAA-compliant environment, protecting sensitive information and granting access only to authorized providers.

Clients can view invoices, check outstanding balances, and make secure online payments using their preferred method. Transactions sync instantly with the Admin Portal, giving real-time financial visibility for both clients and providers.

Yes! Providers can share session notes, care plans, home exercises, and educational materials directly via the Client Portal. Clients can review these resources anytime, which helps them stay engaged and informed between sessions.

Absolutely! The Client Portal consists of a built-in secure messaging feature called the TherapyPM Messenger. It allows clients and providers to discuss about sessions, share documents, clarify questions, and stay connected.

Yes! Clients can update personal details like address, phone number, insurance information, and emergency contacts directly through the Client Portal. The updates sync instantly with the provider’s system to reduce admin work and reduce errors.

Yes! Clients can complete and submit e-signatures for consent and intake forms and other required documents. This makes onboarding faster, eliminates paperwork, and ensures all signed forms are stored securely in the client’s record.

Yes! TherapyPM supports parent or caregiver access, allowing authorized family members to log in, view schedules, sign documents, and communicate with providers. This ensures unauthorized members don’t access information not meant for them.

Families can manage multiple children under a single account. Parents can switch between profiles, view each child’s schedule, upload documents, and manage billing with separate logins.

Yes! Clients receive automated reminders for upcoming appointments, shared documents, and important updates. They help reduce no-shows and keep clients engaged in their care.

Telehealth

Yes! TherapyPM includes a built-in HIPAA compliant video platform that allows providers and clients to join sessions directly through the system. No external apps or downloads required.

Yes! TherapyPM supports group telehealth sessions, in which you can invite multiple participants such as parents, caregivers, supervisors, or group therapy members. Everyone can join from their own device with a single secure link.

Yes! TherapyPM offers a private virtual waiting room where clients wait until the provider joins. Providers also have full control to admit participants, mute audio, manage video, and ensure the session stays secure and organized.

Absolutely! TherapyPM allows you to record telehealth consent, specify Place of Service (POS) codes, and document whether the session was audio-only or audio/video.

Yes! When payer rules permit, TherapyPM supports audio-only telehealth sessions. Providers can document the session type, duration, and payer-specific requirements directly in the note.

Yes! Clients can join telehealth sessions from any mobile device or browser without installing an app. They simply click the secure link from the Client Portal or reminder message.

TherapyPM’s telehealth platform is designed to auto-reconnect when internet stability fluctuates. If a call drops, clients and providers can rejoin instantly using the same secure links to reduce disruptions. 

Yes! Telehealth links are included in automated appointment reminders, making it easier for clients to join sessions on time. Providers can also resend links manually through the messenger if needed.

Payroll & Time Tracking

Yes. Providers can submit timesheets directly through the Provider Portal, including session hours, admin work, mileage, and travel. Supervisors and admins can review, approve, or request edits before payroll is processed.
